I'll do my best to make this one, I'm open to suggestions for dates, but it will have to fit in around my University work. Maybe avoid the high summer as flights get a bit expensive with all the tourists heading to the beaches.

That's for sure. The meeting maybe will be held during the winter (in the beginning months of 2010, end of January, February or March sounds great ) or in the spring. This is only my personal opinion.

I think for most people this kind of timeline will be too soon - it's only a couple of months away. Those travelling non-rev will have no problem though.

I can't say anything about the other cities, as I've never been there.

This is what I was thinking too. Regarding airlines I'm not too bothered about direct flights - so long as I can get to within a couple of hundred miles of where we're meeting I'm sure I can get a bus/train or something to the destination. I will probably take the opportunity to visit Bulgaria at the same time, as I've wanted to for a while now, and I may just end up in Greece, Turkey or god knows where!

Express your thoughts about these three dates. What are the (dis)advantages?
February - Low traffic, Cold weather, Cheap tickets
March - Optimum traffic, Optimum weather, Optimum tickets
September - High Traffic, Hot weather, Expensive tickets
That's is just my point of view in this short brief.

Recently extended to 60 minutes, IIRC.
February 2010 might be a bit too tight fro planning, as expressed by others earlier. Also the weather could be negative.
Personally I'd perfer September or even October.
Location-wise I am not too picky as long as I fly there within one day w/o having to fly out before 0800h.
Might even consider to combine the location with a trip to one (or more) of the Greek islands.
