Another Photo Usage Question

Sat Nov 23, 2002 8:53 pm

I've had a couple of e-mails from a company in Holland regarding the use of my photos and I need a bit of advice.

The first e-mail as follows

While searching the web for airplane photography, we came across your
website with some interesting aircraft photography.

One of the main activities of our company HITT, is the supply of complete
ground movement control systems. We have many references world-wide,
including the system at Manchester airport. You can visit our website
www.hitt.nl for more information.

Currently we are in the process of renewing our brochures. I would like to
know under which conditions you could provide us with your photography. We
are primarily interested in unlimited use on a non-exclusive basis.

If you are interested in supplying photography, I have the following
* Does your portfolio include other high-quality pictures than shown
on your website? If so, please supply us with a thumbnail picture overview
* Can you supply photographs with a true resolution of 3600 x 2400
pixels, or are they of a different size?
* Do you also have photography of VCR's and general airport layout?

I replied back saying I could only manage a size of 2160 x 1140 (Canon D30) and got the following message:

Thank you for your reply. Today I have spoken with our graphics studio, and
a resolution of 2160 x 1140 is OK. I have had a closer look at your website,
and there are a number of photographs that would fit well in our brochures,
as well as in other publications.

Please let me know the conditions for use of the photography.

So, what are the main points I should make as conditions, should I charge or are they expecting them for free? I'm pretty new to getting requests like this and would welcome any feedback.

Thanks in Advance

Do not give it to them for free!! For one I would ask how many brochures they plan on producing. Also, find out the exact # of photos of yours they want. Lets see what everyone else says..... good luck.

Thanks for the advice Justin!

I'm e-mailing them now to ask how many brochures they would like to produce and how many photos they want. I'll also mention that there may be a charge and see if this puts them off.

If anyone else has comments I'd be very interested in them

there may be a charge --> According to me, you SHOULD charge them!! It's obvious this is a commercial usage.

The email actually looks to me like he expects to pay. It has all the right words in it - good luck

Thanks again for all the comments!

Assuming I get a reply that he is willing to pay, then how much should I charge for the use of them? just a rough figure per pic.

The interesting part of the email mentions he wants it for "unlimited use on a non-exclusive basis" which obviously means they can use the pics when ever they want but I still retain them and the copyright to them. Correct?

One other small question, how does the payment atually happen, how does it get from their account (Holland) to mine (UK)? Will I have to give account details?

Once again, thanks for the responses

Just an update.

They want to use about 10 pictures on a "unlimited use on a non-exclusive basis". Mainly in about 1000 to 1500 brochures and also probably on the website and in advertising.

So, what price should I be looking at as I have no idea whatsoever! I'd like to give a reply by tomorrow evening (Mon) so if anyone can give me a bit of an idea on price by then, I'll be very, very greatful.

Thanks yet again,
